Watch a list for changes

Make a watch on a list in AFAS Profit or Asana, so a flow starts each time a row in it is added, changes or is removed, and gets the row and what changed.

Steps

Open New trigger

Open Triggers and click New trigger. Below the built-in triggers, click the service.

New trigger: the built-in triggers, then a row each for AFAS Profit and Stripe

Choose the list

Choose A row is added, changes or is removed in a list. Under Which list?, pick one, such as an AFAS Profit GetConnector. Under Starts when, untick what should not start a flow. Add a Name and click Create trigger: the watch's page opens.

New trigger, AFAS Profit: a row is added, changes or is removed, the GetConnector Profit_Employees, all three changes ticked, and a name

Choose what counts

Under Watch, click Preview the list to see its rows, then set:

SettingWhat it does
Each row is known byThe field that tells rows apart. Default: the list picks it.
Only rows whereWatch part of the list. Default: every row.
Only these fields countStart only when one of these fields changes. Default: any field.
Check everyHow often Flowmage looks at the list.

Click Save changes.

The watch's settings: the list, a preview of its rows, and the rows that say what counts and how often it checks

Add your flow

Under Flows, click Add a flow, choose your flow and click Add.

Add a flow to this trigger: a search over the workspace's flows

Publish the flow

In the editor, click Publish, then Put on Test. From the next check, each change found starts a run. To start it on Prod, see Test and Prod.

Technical details

The first look at the list starts no flow: later checks compare with it. Each change found starts one run, whose trigger payload holds:

FieldWhat it holds
actionadded, updated or removed
keythe row's key
itemthe row as the service has it now
previousfor an update: the row before
changedfor an update: the fields that changed
difffor an update: each changed field's old and new value
reasonfor a removal: deleted in the service, or no longer in the list
detectedAtwhen the check found it

If it did not work

  • The watch says No flows yet. What it finds is kept until you add your flow under Flows.
  • Nothing ran after a change. Checks run every few minutes; Check now in the header looks at once. Only a change to a field under Only these fields count, in a row matching Only rows where, starts a flow.
  • The watch says Waiting for your OK. It found more rows at once than expected and holds them. Click Review what waits, then Deliver them or Skip them.
  • You picked another list. Choose under Start from, then click Save changes: From now on, Include what's already there (rows arrive as added and wait for your OK) or Changes since a date (for a list that keeps when a row last changed).
